This Return Policy outlines the cancellation, rescheduling, and refund terms for workplace wellness programs purchased from Strainingearth. Because our wellness programs for office workers involve scheduled facilitator time, printed materials, and program preparation, this policy is designed to be fair to both clients and our team based in Wellington, New Zealand.

1. Scope

This policy applies to all wellness program purchases made through strainingearth.world or directly with Strainingearth, including but not limited to:

Digital resources and printed materials included with programs are covered under the terms specified in each section below.

2. Consumer Guarantees

Nothing in this Return Policy limits your rights under the Consumer Guarantees Act 1993 (New Zealand). If our wellness programs fail to meet guarantees of acceptable quality, fitness for purpose, or match their description, you may be entitled to a remedy including repair, replacement, or refund as provided by law.

3. Cancellation Before First Session

3.1 More Than 14 Days Before Scheduled Start

If you cancel your program booking more than 14 days before the first scheduled session, you are eligible for a full refund of the program fee minus any non-recoverable third-party costs already incurred on your behalf, such as printed materials already dispatched.

3.2 Between 7 and 14 Days Before Scheduled Start

Cancellations made between 7 and 14 days before the first scheduled session are eligible for a 75% refund. The remaining 25% covers facilitator scheduling, program preparation, and administrative costs.

3.3 Less Than 7 Days Before Scheduled Start

Cancellations made less than 7 days before the first scheduled session are eligible for a 50% refund. At this stage, facilitator time has typically been reserved and program materials prepared specifically for your team.

4. Cancellation After Program Has Begun

Once the first session of a purchased program has been delivered, refunds are calculated on a pro-rata basis for undelivered sessions only. Completed sessions and any materials already provided are non-refundable. To request a mid-program cancellation, contact us with your booking reference and reason for cancellation.

Example: If you purchased Posture Flow Weekly (four sessions) and cancel after two sessions have been delivered, you may be eligible for a refund equivalent to 50% of the total program fee, subject to the conditions in this policy.

5. Rescheduling

We understand that office schedules change. Rescheduling requests are handled as follows:

Programs must be completed within six months of the original start date unless otherwise agreed in writing. Unused sessions after this period are forfeited without refund.

6. Service Failures by Strainingearth

If we cancel a session due to facilitator illness, severe weather, or other circumstances within our control, we will offer either a rescheduled session at no additional cost or a pro-rata refund for the affected session. If we are unable to deliver the complete program as agreed, you will receive a refund for all undelivered sessions.

If you are dissatisfied with the quality of a delivered session, notify us within 48 hours of the session date. We will investigate and, where appropriate, offer a complimentary replacement session or partial refund at our discretion.

7. Printed and Digital Materials

Printed posture reference cards, desk guides, and similar physical materials included with Desk Reset Starter and other programs are non-returnable once dispatched. If materials arrive damaged or incorrect, contact us within 7 days of receipt with photographic evidence, and we will replace them at no charge.

Digital resources including reminder toolkits and engagement summaries are delivered electronically and cannot be returned once access has been granted. Refunds for digital materials are only available if access has not yet been provided.

8. How to Request a Refund

Refund requests are acknowledged within two business days and processed within 10 business days of approval. Refunds are issued to the original payment method used for purchase.

At our discretion, we may offer program credits instead of monetary refunds. Credits can be applied toward any Strainingearth wellness program within 12 months of issuance. Credits are non-transferable between organisations unless agreed in writing. Credits cannot be exchanged for cash.

If you are unhappy with our response to a refund request, please contact us again with additional details. We are committed to resolving disputes fairly and promptly. If we cannot reach a satisfactory resolution, you may refer the matter to the Disputes Tribunal of New Zealand for claims within its jurisdiction, or seek advice from Consumer Protection New Zealand.

12. Changes to This Policy

We may update this Return Policy from time to time. Changes apply to purchases made after the updated policy is posted on strainingearth.ddd. Purchases made before a policy change will be governed by the policy in effect at the time of purchase, unless the change benefits the client.
